How to Create Document Type

In OneDeck, you can create and manage new Document Types - such as quotes, contracts, invoices, or any other type you need - to standardize and simplify the handling of recurring document processes across your records. For each Document Type, you can build and customize templates using the document builder, saving time, ensuring consistency, and streamlining your workflows within the platform.

Navigate

Step 1: In the side navigation panel, click on the Settings option from the bottom-left corner of the interface.

Step 2: Select the Templates tab from the settings tab menu.

Step 3: Select the Document Type option from the Templates menu.

Create Document Type

Allows you to create a document type in OneDeck that serves to standardize the management of recurring document types that are used.

Step 1: Click on the + Add button to create a new one.

Step 2: A new window will appear, asking you to enter the following fields for defining the document type:

Fields Description
Name Input where the user can type the name of the document type.
Permissions Defines the roles and access permissions for the document type.
Role Allows the user to assign a role to define what level of access a particular role has for the document type:
  • Author
  • Viewer
Show only related documents Toggle that determines whether users with the specified role will only see documents related to them.

Step 3: Once done, click on the Create button.

Manage Document Type

OneDeck provides the following options for managing document type templates effectively, including searching for the specific document type, editing its details, and deleting it when not in use.

  • Search Document Type
  • Edit Document Type
  • Delete Document Type

Search Document Type

Allows you to locate added document types quickly by utilizing the search functionality by entering the document type to find the desired document type efficiently.

Edit Document Type

Allows you to edit the document type, click on the vertical ellipsis (three dots) and select the Edit option to update details such as:

  • Name
  • Permission
  • Role type

Delete Document Type

If the document type is no longer needed, you can delete it. Click on the vertical ellipsis (three dots) and select the Delete option.

Note: You can only delete that document type that does not involve any documents in it.
